Tali AI Implementation Guide for Clinics Preparing to Launch

Tali AI provides a structured and supportive approach to help clinics transition to live usage. This guide outlines what your team needs to complete before and during launch to ensure a smooth onboarding experience.

Pre-Launch Planning

Workflow Review

Map out how Tali fits into your current workflow:

  • Review visit types (in-person, phone, and virtual)

  • Identify where Tali’s AI Scribe will be used in the clinical journey

  • Align all clinicians on where and how to use Tali

This step is especially important when visit types or provider preferences vary.

Account Creation

Complete account provisioning a few days before kickoff:

  • Option 1: Send a list of clinician names and emails and Tali will create accounts for you

  • Option 2: Assign licenses directly via the Admin Panel (N.B. Only available if all licenses are Pro)

Provision early to ensure onboarding emails are received and accounts are active before launch.

Technical Setup

  • Ensure all devices meet the following requirements:

  • Functioning microphone

  • Supported browser or the Tali desktop app

  • EHR Integration: If your site wants to configure an integration between Tali and your EHR, begin coordination with your IT lead at least one week before launch. Tali will handle technical setup and testing.

Appoint a Clinic Champion

Choose a “Tali Champion” to support your internal rollout:

  • Select a tech-savvy or early-adopter clinician, or someone particularly excited about Tali

  • This individual can serve as the point of contact for team questions

  • They can participate in extra training to guide peers and share feedback with Tali

Kickoff and Go-Live

If your group is big enough, you’ll want to host a formal kickoff session (A “Lunch & Learn” format often works well!) for all Tali users for 30–60 minutes, ideally a day or two before, or the day of, go-live.

Tali will lead the session to:

  • Review accounts and walkthroughs

  • Demonstrate key features

  • Share best practice tips

After the kickoff, ensure that each clinician has:

  • Logged in and completed onboarding

  • Practiced launching Tali during a visit

  • Reviewed how to find and edit generated summaries

  • Reviewed the clinic’s consent protocol

  • Located patient-facing materials (e.g., posters, infographics)

  • Met the Champion and knows who to contact for support

Before going live:

  • Confirm all accounts are active

  • Integrate consent into patient intake workflows

  • Test audio quality, especially in shared spaces

  • Display printed materials in exam rooms and waiting areas

Early Usage Period

Expect a learning curve — that’s normal!

  • Conduct informal team check-ins with your Champion

  • Take advantage of the Tali AI Community to learn more about how others are using the solution

  • Direct feedback to [email protected]

  • Offer 1:1 training for clinicians who need more support

  • Access how-to articles and troubleshooting at help.tali.ai

Some clinicians will adopt Tali right away. Others may ease in gradually — allow flexibility while ensuring consent and privacy protocols are followed.

Ongoing Support and Optimization

Support doesn’t stop after launch. Continue optimizing Tali use:

  • Try advanced features:

    • Structured note templates

    • EMR-integrated workflows

  • Attend live office hours and refresher training

  • Stay informed through feature walkthroughs

The Champion continues to:

  • Support new and existing staff

  • Relay feedback to Tali

  • Manage licenses via Admin Panel (recommended role name: Tali Lead or Scribe Champion)

Use the Admin Panel to:

  • Assign and reassign licenses

  • View active users

  • Track team usage
